What XOOPER is

XOOPER is a web-based management system for savings and loan cooperatives, built by XETUP. In one system it handles member records, savings accounts, the full loan cycle from application to payoff, bookkeeping, and financial reporting. Five modules that work as one system

1. Members and savings

Every member has a complete profile and a member number. One member can hold several savings accounts at once, such as principal savings, regular savings, and holiday savings, with types and rules defined by the cooperative. Deposits and withdrawals are recorded as transactions on each account, so any member's balance history can be traced at any time.

When a transaction is entered by mistake, staff cancel it with a reversal instead of deleting it. The correction trail stays on record, and supervisors can see what changed and when.

2. Loans from application to payoff

The loan flow in XOOPER follows the way cooperatives actually work. An application comes in with collateral details, tenor, and purpose. The collateral, such as a vehicle title or land certificate, is recorded with the application, so the board can see what secures each loan without digging through the filing cabinet. The board then decides whether to approve it. Approved applications are disbursed, and at that moment XOOPER generates the complete installment schedule for the full tenor.

Each loan product has its own settings: monthly, weekly, or daily installments, the service rate, and the administration fee. Installment payments are recorded as loan transactions, so each member's remaining balance always matches their latest payment. The board can also filter applications by status, so no application gets lost in a pile of paperwork.

3. Accounting that runs itself

Every deposit, withdrawal, disbursement, and installment immediately creates a journal entry to the right account in the cooperative's chart of accounts. For transactions outside savings and loans, such as office expenses or adjustments, there are cash journals and memorial journals.

The chart of accounts itself is not locked. The cooperative can add accounts and sub-accounts to match its existing bookkeeping, then decide which accounts each savings and loan product posts to. That way the reports keep the structure the board is already used to reading, instead of being forced into the software's default format.

XOOPER also runs operating days the way a bank does. At the end of each day, the end-of-day process moves the working date forward, so every transaction lands on the correct operating date. The treasurer no longer builds the general ledger from scratch, because it is assembled from daily transactions that are already recorded.

4. Reports ready for the annual meeting

Because every transaction flows into the same journal, financial statements are simply pulled by period: balance sheet, income statement, cash flow, general ledger, and journal. There are also operational reports for the board, covering members, savings accounts and transactions, applications, disbursements, loan accounts, and installments. Every report can be downloaded to Excel when supervisors or the cooperative office ask for a specific format.

An unbalanced balance sheet is the most common symptom of copied-over bookkeeping. In XOOPER, every transaction creates a balanced journal entry from the start, so the board no longer has to hunt for discrepancies before the annual meeting.

5. Member portal

Members get their own access to check the balance of every savings account and what they still owe on loans. From the same portal they can apply for a loan and simulate installments first: pick a loan type, enter the amount and tenor, and see the schedule of principal, service charge, and total installment per period.

Routine questions like "what is my balance" or "if I borrow this much, what will I pay each month" no longer have to be answered one phone call at a time.

Access that matches each role

Cooperative work is split across several roles, and XOOPER follows that split. Menus are grouped for member services, teller, accounting, and settings. Permissions are set per user group, so a teller cannot change the chart of accounts and members can only see their own data.
